Equilibre Vet Ltd is a private limited company registered in England and Wales (company number 14522693), trading as Equilibre. We provide equine veterinary physiotherapy and veterinary acupuncture services on an ambulatory basis.

Clinical records
If you become a registered client, we collect and maintain clinical records relating to your horse. This includes personal contact details, horse details and clinical information generated during the course of treatment. This data is necessary for the provision of veterinary physiotherapy and acupuncture services and to meet our professional obligations.

How we store your data
Website enquiry data is stored securely within Wix, the platform on which this website is built.


Clinical records for registered clients are stored within our practice management system. This system is not connected to or accessible via this website.


We do not store sensitive personal data such as payment card details.

 

Who we share your data with
We do not sell or share your personal data with third parties for marketing purposes.

 

Clinical records and associated personal data are held within our practice management system. We do not share your data with any other third party except where required during provision of our services or other obligations:

  • Your veterinary surgeon – with your consent, for clinical continuity of care

  • Other allied professionals – with your consent, for optimising clinical care

  • Equine insurers – where required to process a claim you have initiated

  • Professional indemnity insurers – where required for a claim or dispute

  • Accountants – for financial record keeping purposes only

  • IT and website service providers – including Wix, who host our website

  • Regulatory authorities – including the RCVS, NAVP or RAMP where required by our professional obligations

  • Legal authorities – where required by law

  • Debt collection services – in the event of unpaid accounts, as set out in our Terms of Business

All third parties who process your data on our behalf are required to handle it securely and in accordance with UK data protection law.

Clinical referral data

Where a veterinary surgeon submits a referral via our online referral form, the clinical information provided – including diagnosis, medication and patient history – is processed for the purpose of providing the requested physiotherapy or acupuncture assessment.

 

Referring vets should ensure they have appropriate consent from the horse owner before submitting clinical information about that owner's animal via our referral form. Our referral form includes a consent confirmation field for this purpose.

Data storage and security

We take appropriate technical and organisational measures to protect your personal data from unauthorised access, loss, misuse, alteration or disclosure.

Clinical records are stored securely in electronic format. Physical documents are stored in locked storage where applicable.

How long we keep your data

We retain client and clinical records for a minimum of seven years from the date of the last treatment, in accordance with professional guidance and legal obligations.

Website enquiry data submitted via contact forms is retained for as long as necessary to respond to and administer your enquiry, and no longer.

Marketing data is retained until you withdraw consent or request erasure.

Where you request deletion of your data and there is no legal or professional obligation to retain it, we will delete it within 30 days of your request.
